**Short answer:** as fast as you possibly can, ideally within minutes, and with a way to book a tour in the very first reply. Renters often inquire at several communities at once, and the first one that answers with real information and a tour link is usually the one they visit.

## Why does response time matter so much in leasing?

A rental inquiry is a short window of intent. The prospect is on their phone, comparing options, often in the evening or on a weekend when the leasing office is closed. A reply that arrives the next morning competes with communities that already answered, booked a tour and sent a reminder. Slow follow-up doesn't show up in an ad report, which is why it's one of the most common and most expensive leaks in a leasing funnel.

## How do you test your own speed to lead?

Run this 10-minute secret-shop on one community this week:

1. Submit an inquiry on your own website at around 7:30 pm on a weekday.
2. Submit another through one of your ILS listings, such as Apartments.com or Zillow.
3. Note how long each reply takes, whether it's personal or generic, and whether it includes a way to book a tour.
4. Count how many follow-ups arrive over the next two weeks if you don't reply.

If the answer is "tomorrow morning," "call us," or a single email and then silence, you've found where leases are slipping away.

## What does good follow-up look like?

| When | What the prospect gets |
| --- | --- |
| Immediately | A personal reply that answers the question, plus a self-booking tour link (in-person, agent-guided or self-guided) |
| Day 1 | A short note with availability and pricing for the floor plan they asked about |
| Day 3 | Something useful: neighborhood highlights, parking, pet policy or move-in costs |
| Day 7 | A reminder of any current specials and an easy way to reply with questions |
| Day 14 | A polite check-in asking whether they're still looking |

Once a tour is booked, add a confirmation, a reminder the day before and a reminder about two hours before. After the tour, follow up within 24 hours with the application link.

## Does faster follow-up require more staff?

Usually not. Most of this can run automatically from your CRM or property management software: instant replies, tour self-scheduling, reminders and a timed follow-up sequence. Your team's time then goes to the conversations that need a person. Every automated message should still be reviewed for accuracy and Fair Housing compliance before it goes live.

## Frequently asked questions

### Is an automated reply good enough?

Only if it reads like a person wrote it, answers the actual question and includes a tour link. A generic "we received your inquiry" message doesn't hold attention.

### Should we text or email?

Both work, but only text prospects who have given consent, and always offer a way to opt out.

### How do we measure improvement?

Track average first-response time and lead-to-tour rate by source each month. If response time drops and tours rise from the same lead volume, the change is working.
